This article will walk you through how to create Clickwrap workflows in Workflow Designer.
ENABLE/ACCESS: Clickwrap Workflows are available as an add-on. If you are interested in learning more, please reach out to your Ironclad representative.
A Clickwrap workflow lets you capture a user's acceptance of terms through an embedded experience—typically with a checkbox, acceptance language, and access to view the terms. When the user submits the form, their acceptance is recorded and tracked.
To get started with a Clickwrap workflow, you must create a workflow configuration in Workflow Designer. This is very similar to creating a typical workflow configuration, with a few changes to the functionality.
Create an Clickwrap Workflow Configuration in Workflow Designer
-
In Ironclad, click the Workflow Designer tab.
-
Click New clickwrap workflow.
-
Name the Clickwrap workflow. Click on the empty name box in the top left corner and enter a name.
-
Configure the workflow owner. If you need to update the workflow owner, click Workflow settings indicated by a gear icon in the top left corner.
-
Upload the documents your users will review and accept. While there’s no strict limit, we recommend uploading no more than 25 documents for optimal performance. All files must be in DOCX format.
-
Tag your document. Tagging enables you to select areas of the template text that you want Ironclad to replace with a tag, such as the agreement date and the parties' names.
-
Review and customize your Launch Form. While there isn’t necessarily a long form for users to fill out, this form will capture their acceptance through these properties.
-
To add another field to the form, create a property. The property is added to your Launch Form.
-
You can set default values by entering text into each field, though this is optional. Fields marked as required must have a value passed at some point—either through a default here or by collecting input from the user on the Clickwrap implementation’s site.
-
-
Define Allowed Domains: In the Create tab, click Settings (located next to Launch Form).
-
In the Allowed Domains field, add the URLs you want to embed your Clickwrap in. You can add up to 25 domains.
-
-
Configure the signer. Click on the Sign tab. You can only have one signer. You cannot add additional signers or remove the signer. You can rename the signer role by clicking on Counterparty Signer and entering a new name.
-
Configure the acceptance language. In the Sign tab, click Settings (located next to Signers). Edit the acceptance text. This is the text that will be displayed next to the checkbox the signers will check to accept the contract.
-
To change the name of the document displayed in the acceptance text, click the Document tab, and then click the three stacked dots in the top right corner. Click Manage paper source. Edit the name of the document. The change is reflected in the acceptance text.
-
-
Configure records of acceptance. If you want the signer to be sent an email with a record of their acceptance, toggle on Email signers records of acceptance.
-
Configure the Clickwrap’s archive settings. Click the Archive tab. Select whether the type of record produced will be Static or Dynamic, and the select the record type.
-
Configure auto-archive. We recommend keeping this set to Always, though you can set it to Never or based off of a condition.
-
Manage archive record properties. Archive record properties allow you to collect additional information during the Archive step of a workflow.
-
Manage file names and paths. Customizing your file naming conventions and file paths enable you to automatically save agreements in a consistent and organized manner. We highly recommend establishing your file names and paths before publishing your workflow template.
-
Publish the Clickwrap workflow. Click Publish in the top right corner.
Launch and Clickwrap Workflow
After you have created and published your Clickwrap workflow in Workflow Designer, you can launch it. To launch a Clickwrap workflow, a technical user must take the link from the workflow configuration’s Sign tab in Workflow Designer and add it to the website’s code.
This technical implementation is covered in our Developer Docs (Coming Soon).
