This article will walk you through how to manage internal and external comments. This includes how to add a comment, toggle a comment's type, leave an internal comment in Word, and download/share a document with internal comments.
You can add comments to a document in Ironclad Editor. This provides an easy way to collaborate on your contract with other users. Internal comments are only visible to your colleagues. External comments are shared with your counterparty. When you add a comment to a thread, the entire thread must be internal or external. It cannot be both.
If you were tagged in a comment or have previously commented on a thread, you receive notifications for the workflow. You cannot respond to these email notifications. (This is different from other areas of the system. For example, you can respond to Activity Feed @-mention email notifications.) You continue to be a thread participant until the thread is resolved. Add a Comment
You can add comments to a document in Ironclad Editor. This provides an easy way to collaborate on your contract with other users.
- In Ironclad Editor, highlight a phrase or sentence and click Comment.
- If you want to mention another user, type the ‘@’ symbol followed by the first few letters of the user’s name. Ironclad presents a list of users that you can select from.
- Click Comment.
- Click Save as New Version located in the top right corner of the Editor. The tagged user is notified of your comment as is brought into the contract workflow as a participant.
- After the user has reviewed the document or comment, they can reply to the comment or click Remove Comment.
Edit/Remove a Comment
- In Ironclad Editor, locate the comment you want to edit.
- If you want to edit a comment, click the comment’s three stacked dots > Edit Comment. Click Save.
- If you want to remove a comment, click the comment’s three stacked dots > Remove Comment.
Toggle a Comment’s Type (External/Internal)
Internal comments are only visible to your colleagues. External comments are shared with your counterparty. When you add a comment to a thread, the entire thread must be internal or external. It cannot be both.
- In Ironclad Editor, locate the comment you want to update.
- Click the comment’s three stacked dots > Mark Thread as [External/Internal]. The comment is updated to external or internal, depending on your selection.
- Click Save as New Version located in the top right corner of the Editor. The comment is labeled as the updated internal or external.
View a User’s Comments and Changes
You can highlight the comments and changes a user has made to a document.
- In Ironclad Editor, locate the Document Discussion section on the right.
- Click on the icon that represents the user you want to view comments and changes for.
- Ironclad Editor highlights the comments the user has made, as well as any changes they have made.
Leave an Internal Comment in Microsoft Word
If you want your comments in Word to sync back to Ironclad as internal comments, you can add (Internal) in front a comment in Word. Comments with (Internal) at the start of the comment will sync to Ironclad as internal.
- Download the document and open it in Microsoft Word.
- Highlight the text you want to comment on create a comment.
- Begin the comment with (internal).
Download a Document with Internal Comments
- In Ironclad Editor, click Edit Offline. You are prompted to select whether you want to keep or remove the document’s internal comments.
- If you select Remove Internal Comments, a new version of the document is saved within your workflow.
- Click Download.
Share a Document with Internal Comments
When you share your document using Ironclad, any internal comments within your workflow are removed before the document is sent to your counterparty. You can choose to include the internal comments by selecting Keep Internal Comments.
