This article will walk you through how to update a workflow's properties (metadata) and documents.
If your workflow's document(s) is based off a template, when you upload a new version of the document, it is saved as a new version and is no longer generated from the template. This means updates directly made in the document will not update your properties in Edit Information, but updates made in Edit Information still will update the document.
If you want to compare document versions, refer to Compare Document Versions.
Update a Workflow Using Edit Information
- Click on the workflow you want to edit. A summary window displays on the right.
- In the summary window, click Open overview page indicated by a two arrows icon.
-
In the Properties section, click Edit. The Edit Information window displays.
-
Edit the agreement details.
- In the After updating… section, select whether or not you would like to change turns and reset approvals:
- Select whether you’d like to change the turn to your counterparty or company. This is useful if you want to reflect that the turn has changed from being counterparty to company, or vice versa.
-
If you are an administrator or workflow manager, select whether or not you want to reset all approvals. This is useful if the changes represent material changes that you want all parties to review the document again. (Note: This does not reset clause approvals.)
-
Add a comment describing the changes you made. In the comment box, you can add emojis and tag other Ironclad users.
-
Click Update Information. A comment is added to your workflow’s Activity Feed with the comment you left in the previous step and a copy of the updated document.
- You can filter on "Properties" in the Activity Feed to see all changes made to Editing Information.
Update a Workflow’s Documents
You can make changes to your workflow’s documents, regardless of how they are uploaded into the system, as long as they are DOC, DOCX or PDF format. You can download a document, edit it, and upload the new version of the agreement. Once you upload a new version of the document, it is saved as a new version and is no longer generated from the template.
- Download your document from the workflow page:
- In the Documents section, hover over the document you are looking to download, and click the More actions menu indicated by three stacked dots.
- Click Download.
- Edit your document in Editor or Microsoft Word.
- In the Documents section, hover over the document you are looking to edit, and click the More actions menu indicated by three stacked dots.
- Click Edit.
- To edit in Microsoft word, in the Editor select the download icon and click "Edit in Word."
- Edit or comment on your document in Ironclad Editor:
-
In the Documents section, click Edit or comment indicated by a pencil icon.
NOTE
If you do not have edit access, you will only be allowed to comment when selecting Edit or Comment. -
If there’s only one main document, it opens in the editor automatically. If there are multiple, you can select which one to edit from a dropdown. You can only edit or comment on DOC, DOCX or PDF file typed documents.
-
- Upload new versions of the documents:
- In Ironclad, on the workflow you want to upload the new document to, click Upload located in the Documents sections.
- Click Upload New Version on the document you want to provide the latest redlines for. You can also select the dropdown next to an individual document and select Upload new version.
-
Select the new version of your document. The file type must be .docx, .doc, or .pdf, but it can differ from the original document’s file type.
- If you want to add additional documents to the signature packet, click Add Additional Documents indicated by a plus sign.
- If you want to rename a document, click the three stacked dots next to it. Click Rename.
- If you want to remove a document that is no longer needed, click the three stacked dots next to it. Click Remove. This is only available for documents that are not templated documents. The entire document’s history is removed, not just the current version of the file.
-
Click Submit. A comment is added to your workflow’s Activity Feed with the comment you left in the previous step and a copy of the updated document.
- You can filter for "Documents" to view only these activity feed items.
Attach a Document Without Including It in the Signature Packet
To be able to complete the following steps, a workflow admin must add a file type question in the Create step of the workflow configuration, and ensure the document is excluded from the Signature Packet Documents in the Sign step settings.
- Click on the workflow you want to edit. A summary window displays on the right.
- In the summary window, click Open overview page indicated by a two arrows icon.
- In the Properties section, click Edit. The Edit Information window displays.
- Add a new file.
Reset from Template
Any participant in the workflow can use the Reset from Template feature on any document in the workflow as long as the document was originally built from template, but latest version of the document is not from the template.
Note: If a document is manually edited, re-uploaded, or regenerated outside the template system, the link to the original template is broken. As a result, the Restart from template option will not appear for that document in the workflow.
- On the workflow page, hover over the Documents section and click the More actions menu indicated by three stacked dots.
- Scroll down and click Reset from Template.
- Enter a Reason for starting over.
- In the After starting over… section, select whether or not you would like to change turns and reset approvals:
- Select whether you’d like to change the turn to your counterparty or company. This is useful if you want to reflect that the turn has changed from being counterparty to company, or vice versa.
-
If you are an administrator or workflow manager, select whether or not you want to reset all approvals. This is useful if the changes represent material changes that you want all parties to review the document again. (Note: This does not reset clause approvals.)
- Click Submit. A comment is added to your workflow’s Activity Feed with the comment you left in the previous step and a copy of the updated document.
