Configure Approval Resets in Workflow Designer – Ironclad

This article walks you through how to configure approval resets in Workflow Designer.

Use Cases

If you want Legal to approve again if a document is redlined, set the reset approval condition to Signature packet documents redlined, generated, uploaded or deleted.
If you want the Workflow Owner to approve again if your workflow reverts to Review from the Sign step, add the reset approval condition Workflow reverted to Review.
If you want Finance to approve again, only if the Total Contract Value has changed, set the Reset approval condition to the field tied to Total Contract Value.

Configure Approval Resets

Click on the Workflow Designer tab and select the workflow configuration you want to modify. Click the Review tab.

Use the When should approval be reset? dropdown to configure the specific scenarios in which an approval should be reset.

By default, When should approval be reset? is set to Always, which means that an approval will always be reset. If you remove Always and don’t select anything from the dropdown, the approval will Never be reset.

Note: If a workflow reverts to Review from the Sign step, and no approvals are configured to reset, the Workflow Owner will be assigned as an approver. If a workflow reverts to Review from the Sign step, and at least one previous approval is configured to reset, the Workflow Owner will NOT be assigned as an approver.

Approval Reset Options

You may want approvals to be reset in the following situations:

Workflow Updates: Approval reset options are triggered by changes to the workflow.
Documents Updates: Approvals will be reset if the workflow’s documents are updated.
Property Updates: Approvals will be reset if the property you select is updated at any point in the workflow’s process.
Always: Approvals will be reset in all of the situations listed above.

Workflow reverted to Review	Approval requirement is reset if the workflow is reverted to the Review stage.

Document Updates

These approval reset options are triggered by changes to the document.

Signature packet documents redlined, generated, uploaded or deleted	New document uploaded as a draft or attachment. New version of document uploaded. Change (excluding comments) made in the Ironclad Editor Word plug-in. New version generated (smart merge) due to property updates. Draft or attachment document deleted.
Signature packet documents redlined	New draft document is uploaded. New document version is uploaded of a document in the signature packet. Change (excluding comments) is made directly in Editor, Word Add-in, Word Online, Google Docs.
Documents moved into signature packet	Any document is moved into the signature packet.
Documents moved out of signature packet	Any document is moved into the signature packet.
Signature packet documents reordered	Signature packet order changed. Does not include simple move in/out unless coupled with reordering.

Property Updates

Approvals will be reset if any of the properties you select are updated at any point in the workflow’s process.

If a new version of a document is uploaded that changes the values of a property, the property value needs to be updated to Edit Information in order to trigger an update.
