Use Case
At Classics Inc., the legal team is responsible for archiving hundreds of executed vendor agreements each quarter. Before Archive Agent, archivers had to open each signed contract in a separate tab, cross-reference it against the Archive form, and manually copy values like counterparty name, agreement date, and renewal terms into standard workflow fields and archive-only properties—a process that could take 20–30 minutes per complex contract and often led to inconsistent metadata.
With Archive Agent enabled on their manual archive workflows, reviewers click the Archive Agent option at the Archive stage to see a side-by-side view: the signed document on the left and AI-suggested field values on the right, each with plain-language reasoning and a source citation. The team now quickly verifies or adjusts suggested values, uses Revert to previous value if the agent overwrites something they intentionally set, and archives the workflow in just a few minutes, ensuring every executed contract enters the Repository with complete, trustworthy metadata ready for search, reporting, renewals, and downstream agents.
Prerequisites

| Permissions |
To enable the Archive Agent, the user must be an admin with access to Company Settings. To use the Archive Agent, the user must have permission to archive the workflow. |
Enable the Archive Agent
To use the archive Agent, turn on the Archive Agent setting.
- Click on your profile icon located in the top right corner of Ironclad. Navigate to Company Settings > Settings > Ironclad AI > Archive Agent.
- Toggle on Use archive agent to assist with archiving workflows.
Once enabled, any workflow that reaches the Archive stage will show an Archive BETA button alongside the standard Mark as archived option.
Use the Archive Agent
When a workflow reaches the archive step, an Archive BETA button displays beneath the existing Mark as archived button. Click the Archive BETA button to begin.
The agent runs three steps:
- Prepares the document for analysis: The agent processes the signed contract so it can be accurately read and analyzed.
- Analyzes your workflow metadata and archive form: The agent reviews the document alongside your existing workflow metadata fields; any helper text, pre-filled values, and question text are passed along to the agent. Then it proposes values for each field based on the latest signed contract.
- Generates explanations and citations: The agent updates data in existing fields if its stale, fills in missing fields, and records its reasoning and a source citation for every extracted value.
Once complete, click Review. A side-by-side view displays: the signed document on the left, proposed field values on the right.
Review the Values
The Archive Agent can fill in:
- Standard workflow properties: Any out-of-the-box Ironclad field, such as counterparty name, counterparty address, agreement date, etc.
- Custom workflow properties: Anything custom you’ve added to collect structured data from your contracts.
- Archive-only properties: Custom fields that are only visible and editable at the Archive stage.
For every extracted value, the agent shows its reasoning—a plain-language explanation of why it chose that value—and a source citation, which scrolls the document to the exact location where the information was found so you can verify it in seconds.
Revert a Property to Original Value
If the agent updates a value that was previously filled in, a Reset to previous value button displays next to that field so you can revert to the original value with one click. You can then click Reapply extracted value if you want to undo the revert.
View a Property’s Source
For every extracted value, the agent shows a Source button beneath the property. Click the Source button and the document scrolls to the page where the information was found so you can verify it in seconds.
Archive the Workflow
After you review the suggestions and make any edits, click Archive to archive the workflow.
Tips for Best Results
- Review citations before archiving. The source links let you confirm the agent's work in the document itself — use them, especially for key dates and financial terms.
- Use the Undo button when needed. If the agent updated a field you had intentionally filled with a different value, undo restores your original entry without affecting other fields.
- Check archive-only fields. These fields are only surfaced at Archive, so the agent is often filling them for the first time. Give them a close look.
