Entities serve as a single, unified hub for all the organizations or partners you engage with, such as companies, contractors, educational institutions, and other collaborators. You can add, remove, and replace an entity on an active workflow. If you have create permissions, you can also create a new entity from an active workflow.
Use Case
The legal team at Classics Inc. manages multiple active workflows involving different partners and vendors. They use entities as a central hub to keep all organizational information accurate and up to date.
During an active workflow, the team notices that a contract previously linked to WonderWeb actually involves a different partner. From the workflow, they replace the existing entity with the correct one. The new entity’s information automatically populates the relevant fields on the launch form, ensuring the workflow reflects the correct counterparty.

Add, Edit, or Remove an Entity from an Active Workflow
- In the Dashboard tab, click on the workflow you want to edit. A summary window displays on the right.
- In the summary window, click Open overview page indicated by a two arrows icon.
- Under Properties, click Edit. The Edit Information window displays.

Click on the three stacked dots located next to the existing entity > Remove entity.
Note: If there wasn’t an entity already picked, this will display the same as it does on the launch form / after the entity has been removed (as an empty search field).

To add a new entity after removing the existing one, search for the new entity and select it from the dropdown.
- Click Update information. The workflow is updated and the change is noted in the Activity Feed.
