This article walks you through how to change an existing approver to a participant.
Use Case
At Classics Inc., an ad-hoc approver no longer needs to approve a contract but should remain involved in the workflow. During the Review step, the team changes the existing approver to a participant, removing the required approval while preserving the user’s access to the workflow. This allows the contract to move forward without an unnecessary approval while keeping the stakeholder informed.

Change an Existing Approver to a Participant
If you add a user as an approver that is not a participant in the workflow, they are given access to the workflow. This cannot be undone. You can, however, change their role from an active approver to a workflow participant. This is only available for ad-hoc approvers.
- In the workflow’s Review section, locate the list of approvers. Click the three stacked dots located next to the ad-hoc approver you want to remove as an approver. (If you do not see the Review Section, click Expand indicated by down arrows in the top section of your workflow.)
- Click Remove Approver.
- In the Comment field, add a reason as to why you’re removing them. This comment will be added to the Activity Feed.
- Click Remove approver. This removes the required approval, but keeps the user as a participant in the workflow.
