This article goes over the Intake Agent, an agent that automatically extracts key information from files uploaded to the launch form by analyzing the contract and visiting links found within the contract. It covers enabling Intake Agent, launching a workflow, what it extracts, and how it handles multiple uploaded documents.
Use Case
Use Intake Agent to reduce manual data entry in long or complex workflows. . For example, a procurement team onboarding a new SaaS vendor, Acme Inc., can upload the vendor's own MSA and order form to a Vendor Purchase (SaaS) workflow. Or, a seller generating a contract from a template can upload a SKU catalogue to efficiently populate launch form fields to generate a contract with that data. Intake Agent reads the documents and proposes answers for launch form fields.

About Intake Agent
Intake Agent files uploaded to the launch form and relevant links found in those contracts, and then suggests answers for each question in your launch form. You can accept or reject the suggested answers below each field, and view the citation for each suggested answer.
Features:
- Fills empty fields and suggests values for filled fields: Intake Agent automatically fills launch form fields that are empty. If a field already contains a value, it offers a suggestion instead. Citations accompany each value so you can verify the source.
- Extracts data for out-of-the-box and custom properties: No setup required. It finds dates, party names, termination clauses, contract values, and more.
- Applies reasoning: Infers information not explicitly stated (e.g., data handling practices, security policies).
- Follows hyperlinks: Analyzes referenced documents and websites within contracts that are relevant to any content in your launch form.
- Recommends entities: Uses fuzzy matching against your existing Ironclad entity records.
- 1pp and 3pp compatible: Intake Agent can be used on 1pp and 3pp workflows.
Note: Intake Agent isn’t supported in sandbox mode. To test the workflow in sandbox mode, remove the workflow from the Intake Agent selection in Company Settings, or toggle it off.
Enable Intake Agent
The Intake Agent is enabled on two levels:
- Company level: The Use Intake Agent to fill out launch forms toggle enables the agent company-wide.
- Workflow level: The dropdown menu below the toggle controls which workflows the agent runs on.
Both settings must be configured to start using Intake Agent.
To turn on Intake Agent and select workflows:
- Sign in to Ironclad as an admin.
- Click your profile icon in the top right corner.
- Select Company settings from the dropdown menu.
- Click Ironclad AI from the left sidebar menu.
- Under the Ironclad Agents section, toggle on Use Intake Agent to fill out launch forms.
- In the dropdown list below the setting, select the workflow configurations that Intake Agent can assist with.
- Note: To run Intake Agent on every workflow, select All workflows (current and future) from the dropdown menu.
To confirm, start one of the selected workflows and check that the option to use your uploaded documents to fill out the form appears on the launch form.
Start a Workflow with Intake Agent Enabled
To start a workflow with Intake Agent:
- Click New and select Start a workflow.
- Select a workflow and click Use this workflow to open the launch form.
- On the form, choose whose paper the contract will be on:
- Generate contact from our template: Use your own paper.
- Upload other party’s contract: Use the counterparty’s paper.
- Upload the counterparty contract you want Intake Agent to analyze. You can also use the Intake Agent to analyze files uploaded to other file upload fields in the launch form.
- Optional: Select or de-select Use documents to fill out the form to have Intake Agent propose answers from your uploads. This option is selected by default. Leave this option unselected if you’re only uploading supplementary materials, and don’t want Intake Agent to run.
- Click Upload.
You can navigate away and return once Intake Agent has begun processing your documents. Once analysis is complete, review your launch form.
Review Intake Agent Suggestions
Once analysis is complete, Intake Agent applies values to empty form fields automatically. If a field already contains a value, for example, one synced from Salesforce or filled from a linked record, Intake Agent never overwrites it.
Instead, Intake Agent proposes the value as a suggestion below the field, and it’s only applied if you accept it. You can review the form side-by-side with the document viewer as you work through suggestions.
Expand Document Viewer
Viewing a document beside the form lets you check each suggestion against its sources as you accept it.
To view a document alongside your launch form:
- On the launch form, click the Show documents icon (dog-eared sheet of paper) in the top right corner. The document opens in a viewer beside the form.
- If you’ve uploaded multiple documents and need to navigate to a specific one, click the dropdown caret in the document viewer’s toolbar and select the document you want to view. The viewer switches to the select document.
To minimize the document viewer, click the X icon in the document viewer toolbar.
Accept Intake Agent Suggestions
Suggestions appear as a chip directly below the field (for example, 2 suggestions).
To accept a suggestion:
- On the launch form, go to a field with a suggested value. Suggestions appear as a chip directly below the field.
- Click the suggestion chip to expand its details.
- Optional: Click View in document to jump directly to the clause or section that Intake Agent used.
- Click Use this value.
Once you’ve accepted a value, the suggestion chip will appear as a Source chip.
Note: Fields can offer more than one suggestion. As an example, if you’ve uploaded two amendments to an existing contract, Intake Agent may surface both the original value and its amended values for you to compare and review, with the most recent amendment being prioritized in the suggestion order.

You can click the Source chip below pre-filled fields to see where Intake Agent extracted its answer from.
Note: You can submit the launch form even if some suggestions haven’t been reviewed yet. Suggested values are only applied to a field when you accept it. If a suggestion isn’t accepted, it is discarded upon clicking Submit.
Run Intake Agent on Multiple Documents

You can run Intake Agents on documents uploaded to any file upload question on your launch form, including custom questions. Intake Agent analyzes each document individually at the time you upload it:
- Empty fields are filled automatically with values found in the document.
- Filled fields are never overwritten. New values appear as a suggestion below the field.
- Multiple suggestions can collect on a single field as you upload more documents. Review them and accept the value you want to keep.
What Intake Agent Extracts
Intake Agent uses your existing launch form configuration to find and propose answers for many different field types.
