Overview
The Record Type of your Workflow Designer template can now be configured to specific contract types to be searchable in the Repository. Before publishing, the Record type will need to be identified for new workflow designs.
The configured Record Type will be used to determine:
- Type of record the workflow will export to the Repository upon completion
- Title of your workflow on the dashboard: "[Record Type] with [Counterparty Name]"
- Subject and body of eSignature emails: "[Record Type] [Counterparty Name] and [Your Company Name]"
In the Archive tab, there are two options when selecting the Record Type for the Workflow. 1) Static or 2) Dynamic.
Note: The ability to view existing record types is based on Repository permissions in Company Settings.
Static Record Type
All records created by this workflow template will be the single designated record type that is identified in the dropdown. You can either use a record type that already exists in your Repository, or create a new one.
If you choose to create a new record type it will be permanently added to your company and will be the associated Record Type for this specific workflow template.
Dynamic Record Type
Records created by this workflow template will have their type set by the user in the Launch Form. The Record Types selected on the Archive tab will be used to populate a multiple choice question on your Launch Form allowing the Workflow launcher to select the Record Type.
This option is useful for configuring generic, catch-all third-party paper workflow templates where the desired Record Type is not known in advance.
