Share Document Feature
Use this to send the latest version(s) of the document draft(s) directly from Ironclad to any desired recipients.
An example scenario of how you can use the Share Document feature would be the common task for paralegals of putting together the “closing package” for the other side’s attorneys to double-check before the deal goes out for signature. The package would include: (1) the clean Word doc of the final version (attorneys often call this the ‘final clean’); (2) a redline showing the differences from v1 to the final version (this is useful to show how much changed over the course of the negotiation and to confirm that all of the points made it into the final clean); and (3) a PDF of the final version (often called the “execution copy” because you could take a pen to it right away). You can now create a beautiful version of this email directly in Ironclad using the new feature!
To use the feature, open the intended workflow and click the Share Document button.
Then specify who the recipients are. You can also add Cc for awareness and edit the subject and message to better fit your purposes. Note: Subject, message body, and at least 1 valid recipient are required.
Attachments with Share Document
If your workflow allows for the uploading of attachments, those can also be shared with the Counterparty using the 'Share Document' button. Select 'add document or redline':
then toggle between the attachments, and other documents in the workflow to be shared:
Here’s a sample email received by a counterparty in Gmail:
Invalid emails will be whited out and you will be blocked from sending the email. You can click on the email address to edit it.
If you would like to specify the details of the attachment, you can click on the Change attachment button.
You can specify the document version and the attachment name. If the document is a .docx or .doc format, you can also convert it to a .pdf.
Redlines are available if there are multiple versions of a word document in the workflow.
You can also track email views in the Activity Feed by hovering over the eye icon.
Replies Automatically Pulled Into the Activity Feed
The email sent from Ironclad via Share Document has a unique email address associated with the workflow. The recipient can reply directly to the email, and the response, as well as the attachments, will be captured by Ironclad automatically. You can easily keep track of the progress in Ironclad without switching between tabs and apps! You will need to select Add to Workflow in order to progress the workflow forward.
If an email has attachment(s), you can either replace the existing workflow document with it, or add it as a new document. Note: An attachment can only replace a document with the same file format.
Alternatively, you can Cc the workflow email address in an email sent to the counterparty, and Ironclad can capture the response for you as well. To get the address, simply copy from the workflow page.
If you do not see this feature in your workflow(s) and would like to have it enabled, please contact your Customer Success Manager or email email@example.com.
