When you use an entity to populate information on your launch form, the counterparty information is tied to the entity’s profile. If you make any changes to the entity profile, you can refresh the data populated in the workflow, ensuring the workflow (including any workflow conditions) has the latest data from the entity profile.
Use Case
Classics Inc. launches a workflow for a contract with WonderWeb and selects the entity from the Entities Counterparty field. The counterparty’s address and other details populate the launch form from the entity profile.
During the workflow, the legal operations team updates WonderWeb’s entity profile to reflect a new headquarters address. To make sure the workflow contains the latest information, the team uses the refresh option. This updates the workflow with the new address and ensures that any workflow conditions tied to the counterparty data use the most accurate information.

Refresh Entity Data in an Active Workflow
- In the Dashboard tab, click on the workflow you want to edit. A summary window displays on the right.
- In the summary window, click Open overview page indicated by a two arrows icon.
- Under Properties, click Edit. The Edit Information window displays.
- Click on the three stacked dots located next to the existing entity > Refresh from source. This option only displays if the entity profile is out of date.
- The entity data is refreshed and a time stamp is left indicating how long ago the last refresh was.
