When adjusting your users' seat types, you might discover a high number of standard users and zero viewer/requester users. Follow the steps below to troubleshoot and resolve this issue.
Step One: Determine How Many Users for Each Seat Type
-
Click on your profile icon located in the top right corner of Ironclad. Navigate to Company Settings > Users and Groups. Verify how many users there are for each seat type. If there are ‘0’ Viewer/Requestor users, follow the steps below.
Step Two: Troubleshoot - Check the Everyone Group’s Permissions
- Click the Groups tab and select the Everyone group. Click Edit Group.
- Under Ironclad Editor, verify whether the dropdown is set to Can Edit or Can Comment. If it is set to Can Edit, all users will automatically be assigned a Standard seat at minimum. We recommend changing this to Can Comment.
- Under Workflow Access, verify if the group has access to specific workflows. If the group has access to one or more workflows, all users will automatically be assigned a Standard seat at minimum. We recommend removing workflow access.
- Under Repository, verify if the group has been given Repository access. If the group has access to Choose Access Rights… AND allows users to Edit/Create Repository records, the group will automatically be assigned a Standard seat at minimum. We recommend assigning View Only as the highest Repository access.
- Click Save. The Viewers/Requesters count should update.
Step Three: Further Troubleshooting with Filters
- Click on your profile icon located in the top right corner of Ironclad. Navigate to Company Settings > Users and Groups.
- Set the User Type filter to Standard. Your list of users is filtered by Standard user type.
- To understand why a user is assigned their current seat type, you can click the designation after their name to open a window which will list all permissions and assignments that result in the user being assigned their current seat type.
- Click through the list of users, determining the themes of which groups are causing users to be Standard users.
- Navigate to the Groups tab and click on one of the groups that you determined may be causing your users to be assigned Standard seat types. Adjust the permissions according to the guidelines in Manage Standard, Admin, and Requester Users or Manage Standard, Admin, and Viewer Users.
- Click Save, and then verify how many users are assigned to each seat type. Repeat this process until you achieve the amount of users you want for each seat type.
