A Company A has two Salesforce orgs after acquiring a Company B. Company A already has their original Salesforce org integrated with Ironclad and are loving the benefits of the seamless integration! Now, they want to glean the same benefits on Company B's Salesforce org. To do so, the Ironclad Admin and Salesforce Admin will work together to set this up.
During the setup, they will connect the new Salesforce org with Ironclad, select the workflows they want to use with the new Salesforce org, and set up the data mapping configurations.
After completing setup and launching their first workflow, Larry in Legal was able to see the workflows launched from both Salesforce orgs on the dashboard!
Enable Set Up Multiple Salesforce Organizations
An admin must enable this feature. To enable this functionality, navigate to Company Settings > Settings and toggle on Enable Multiple Salesforce Orgs. You can then connect your additional orgs to Ironclad.
Set Up an Additional Salesforce Organization
- Navigate to Company Settings > Integrations > Salesforce
- Click the Select an organization dropdown and click +Add a production/sandbox Org button.
- Follow the prompts from Salesforce to link the new org to your Ironclad instance.
NOTE
At this point in the setup, you will need the same Access Token you previously created when setting up the first org. If you no longer have the Access Token, you can generate a new one, but be sure to update it in any existing Salesforce orgs. - Give the new org a distinct name so that you can easily distinguish it from your other Salesforce orgs.
- Complete the remaining Salesforce integration setup steps for Workflow Launch and Workflow Sync.
Configure Workflow Launch and Workflow Sync
Required Permissions: Ironclad Admin or Groups with Integrations Permissions
Companies have the option to configure a single workflow to multiple Salesforce orgs. Each org can support a unique Workflow Sync configuration based on the desired data attributes in each org.
- Complete the Salesforce integration setup steps for Workflow Launch and Workflow Sync
- To use the same Workflow Sync configuration in an additional org, click Export to download the configuration.
- Navigate to the new Salesforce org, click +Workflow Configuration and select the same published workflow.
- In the green header, click Import and select the file from your downloads.
- Click Import.
- If you want to adjust this configuration, select Edit and adjust accordingly.
Configure Record Sync
Required Permissions: Ironclad Admin or Groups with Integrations Permissions
Companies have the option to configure a single Record Type to multiple Salesforce orgs. Each org can support a unique Record Sync configuration based on the desired data attributes in each org.
NOTE
When using the same Record Type across multiple orgs, all workflows with that Record Type will be synced back to ALL configured Salesforce orgs.
- Complete the Salesforce integration setup steps for using Salesforce Record Sync
- To use the same Record Sync configuration in an additional org, click Export to download the configuration.
- Navigate to the new Salesforce org, click Import and select the same sync configuration to import.
- If you want to adjust the configuration, select Edit and adjust accordingly.
- If you do NOT want to have records sync back to multiple orgs, we recommend creating separate record types. For example, you may want to create a Record Type of NDA - North America and NDA - EMEA to distinguish the action.
- We also recommend this if you are using the Import or Smart Import functionality within the Repository to batch upload new records.
- If you need to use the same Record Type across multiple orgs, but want the record to only sync to the workflow’s linked source org, please submit a support ticket for further support.
Frequently Asked Questions
Can I give each org a unique name?
Yes! During setup, you will have the opportunity to name the org. This will help you identify which org you are working with.
How do I rename a Salesforce organization?
To change/rename one of your Salesforce organizations in Ironclad:
- Navigate to Company Settings > Integrations > Salesforce.
- Click Account Details.
- Select the organization from the drop-down menu.
- Click the edit button, enter the name, and click Confirm.
Do I need to set up each organization separately?
Yes, you must establish a connection between your Ironclad instance and each Salesforce org. However, if you want to use a similar workflow in multiple organizations (e.g., an NDA in Org A and an NDA in Org B), you can import and export the configuration. This way, you won't have to manually set it up each time.
