The launch form is where your contract requester inputs the information needed to kick off the contract. In this article, you will learn how to configure your launch form in Workflow Designer.
Create Question
Form questions in Ironclad allow you to collect information from your contract requestor. Responses can be used to build conditions throughout the contract process and will become the source of contract data for reporting.
- Click on the Workflow Designer tab and select the workflow configuration you want to modify. Click on the Create tab.
- Click Add question to form, and then choose the format of the question. This will correspond to a property in Workflow Designer. If you have already created this property, select the property to back this question. If you have not, create it.
- Configure the question statement, description, and default values.
TIP
Phrase the question with your contract requestor in mind to make it easy for them to provide the correct information. - Use conditions to define when the question displays. By default, questions Always appear on the launch form.
- By default, all questions are Required. If the response is optional, deselect this checkbox.
NOTE
Counterparty Signer Name, Counterparty Signer Email, and Paper Source question types are always required; this cannot be changed.
BEST PRACTICE
Add Default Options for Form Questions
Defaults guide your users to the most likely option to help save time and reduce the chance of collecting incorrectly formatted information. Select or enter the response you want to be set as the default. You cannot set default values for Related Record or File Attachment form property types.
Copy and Paste Question
If you want to quickly reuse a question throughout the launch form, in another additional form, or in a different workflow configuration, you can copy the question.
- Click on the Workflow Designer tab and select the workflow configuration you want to modify. Click on the Create tab.
- Click on the question you want to copy, and then click Copy question.
- Click Add question to form or Add question to section. Scroll down to the bottom of the list and click Paste question. The question is pasted into your launch form.
Lock Question
Locked questions ensure that users cannot manipulate the data in Ironclad. The only way to update these properties is through an external source, such as Salesforce. There is no permissions based access to edit locked questions — when a question is locked, it is fully locked.
- Click on the Workflow Designer tab and select the workflow configuration you want to modify. Click on the Create tab.
- Click on the question you want to lock, and then select Locked. If you have already set a default value for the question, a warning message displays.
NOTE FOR SALESFORCE INTEGRATION USERS
If you have mapped a Salesforce value in the Salesforce Workflow Launch Configuration settings for your workflow, it prevents your workflow from launching. The workflow can still be published, but an error happens if any attempt to launch the workflow overrides previously set default values. You also cannot map that property to Salesforce, and an error appears in the Salesforce Workflow Launch Configuration.
Move Question to a Different Section/Launch Form
- Click on the Workflow Designer tab and select the workflow configuration you want to modify. Click on the Create tab.
- Click on the question you want to move, and then click Move.
- Select the section or form you would like to move your question to.
Create New Section
Sections help you organize related questions into meaningful groups. This organization makes your form easier for your contract requestors to navigate.
- Click on the Workflow Designer tab and select the workflow configuration you want to modify. Click on the Create tab.
- Scroll to the bottom of the page and click Add question to form.
- Name your section. This is the name that displays at the top of your section on the launch form.
- Add a section description to help your users understand what the section is for.
- Create new questions or move existing questions to the section.
Hide a Section
You can hide sections that you do not want your contract requestors to view and edit during the workflow launch, such as questions that are only intended for Legal.
When a section appears in Review Only, it will not appear in any Create step forms. Only workflow participants will be able to view and edit the questions in that section via the Edit Info form during the Review step. You cannot hide (by displaying in Review Only) any role assignments for the Review and Sign step.
Additionally, the questions in a Review Only section will inherit the default value, values set by related record assignments, or through integrations that set the value of the underlying property.
NOTE
In Workflow Designer Preview, sections set to Review Only will not display in the form preview.
