Remove an Internal Participant or Leave a Workflow
Sometimes, a user participating in your workflow is no longer required. Workflow owners and account administrators can remove internal workflow users who are no longer required, invited in error, or opt to leave a workflow when you have no role or action to take.
Navigate to the relevant workflow from your dashboard and next to the list of participants, click Manage to view list of workflow participants that can be removed or leave a workflow when you are no longer required in the contract discussion. Participants can be added again in the future if the needed.
Participant only view
Workflow Owner / Company Administrator User view
There are two notable exclusions to this functionality:
- Users with assigned workflow roles (e.g. Workflow Owners, listed Approvers, Signature Coordinators, etc.)
- External workflow participants (e.g. Counterparty Invitees) Learn more.
Users with assigned workflow roles (e.g., workflow owners, approvers, signature coordinators, etc.) cannot be removed from a workflow until that role is reassigned, due to the critical nature of their participation. If you wish to remove a participant who occupies one or both of these roles, please reassign or transfer the role to another team member first.

Persisted Roles
- You are now able to persist roles throughout Workflow Designer. This will allow you to express that a single user should do more than one task, and have that assignment carry throughout the workflow. For example, Sally is on the Legal team, and is assigned to act as both the ‘Legal Approver’ and the ‘Archiver’. While the contract is being reviewed, Sally goes on vacation, and reassigns her approval to Bob.
- Previously, when the workflow reached the Archive step, Sally would still be assigned as the Archiver — when in reality, she intended to assign all of her responsibilities in that workflow to Bob.
- Now, with Persisted Roles, you are able to configure your workflow such that your Archiver is your ‘Legal Approver’, and any reassignments made will persist throughout the workflow.
