This article will walk you through how to enable the transfer of permissions from a workflow to the resulting record.
You can enable the transfer of workflow permissions to the resulting record in the Repository. This means if a user has access to a workflow when it is archived, they have access to the resulting record in the Repository.
This feature respects Group permission settings. Users who have No Repository Access as their highest Repository permission are not granted access to any records in the Repository even if the feature is enabled.
Enable Workflow Permission Transfer to Records for Your Entire Organization
Required Role: Administrator
By default, the transfer of workflow permissions to records is not enabled. When you enable this feature, any users who are participants on a workflow when it is archived are given access to the resulting record in the Repository.
If you deselect this feature, any future workflows do not transfer access permissions from workflows to the resulting records. Any records created from workflows while this box was previously checked retain their individual access.
- Click on your profile icon located in the top right corner of Ironclad. Navigate to Company Settings > Settings.
- Select the box next to Enable permissions transfer from workflow to record at archive.
- Click Save.
- To ensure that users are given access, edit the corresponding group’s Repository permissions. Set the Repository permission to one of the following: Choose access rights for specific Records and Record types, View-only access to all Record types (current and future), or View and edit access to all Record types (current and future).
Add Users to a Record
You can give individual users access to a record, directly on the record. This feature respects Group permission settings. Users who have No Repository Access as their highest Repository permission are not granted access to any records in the Repository even if the feature is enabled.
- Click the Repository tab and select the record you want to edit.
- Click Edit.
- In the User Access section, search for and select a new user.
- To ensure the user is given access, edit the corresponding group’s Repository permissions. Set the Repository permission to one of the following: Choose access rights for specific Records and Record types, View-only access to all Record types (current and future), or View and edit access to all Record types (current and future).
Remove a User from a Record
Required Role: Administrator
You can remove a user from a record by editing the user’s access in the record.
- Click the Repository tab and select the record you want to edit.
- Click Edit.
- In the User Access section, locate the user you want to remove. Click the trash can.
