What are Group Permissions in Ironclad?
Group permissions serve as the foundational set of permissions for users, while workflow and record specific access provide more granular control over which contracts users can access and actions they can take in Ironclad. Groups function both as a collection of users and a bundled set of permissions that ensure that users have appropriate levels of access to contracts and Ironclad features. All Ironclad users are part of one or more groups.
Within a group, administrators grant access to core parts of the Ironclad platform, including the workflows and records on the Dashboard, Workflow Designer, Insights, and more.
Group permissions are set in Company settings > Groups.
Note: Users have the sum of permissions based on the groups in which they’re a part of. This means if a user is a part of multiple groups, they will inherit the highest level of permissions according to all groups of which they are a part.
Administrator and Everyone Groups
Every Ironclad account includes two default groups: Administrators and Everyone.
Users in the Administrators group have access to all workflows, records, and company settings. These permissions cannot be edited.
The Everyone group includes all users in your account. These permissions can be edited. It is best practice to set the baseline permissions for your organization in the Everyone group.
User Seat Types
Ironclad assigns a seat type to users based on the total permissions they obtain from their group(s). There are three user seat types in Ironclad:
- Administrator
- Standard
- Requester/Viewer
On the Groups page, you can identify which seat type is assigned to users that are part of a specific group, according to the permissions set for that group, by referring to the Seat Type column.
Administrator
Administrator user seats are assigned to:
- Users in the default Administrators group

Users with the following admin-level permissions:
- AI Clauses
- API Management
- Data Manager
- Global Clause Library
- Integrations Management
- Metadata Import Tool
- Security and Data Management
- Settings Management
- Users and Groups Administration
- Delete Workflows
- Workflow Designer
- Workflow Management
Standard
Standard seats are assigned to users who actively participate in submitting or requesting contracts, editing and redlining agreements, approving workflows, etc.
Generally, the majority of users are standard. Any user with permissions greater than a Requester or Viewer, but less than an Admin, is a Standard user.
By default, the Everyone group's permissions align to a Standard seat type. If necessary, adjust the permissions in this group to align to a Requester/Viewer seat type instead.
Requester/Viewer
Requester/Viewer seats are assigned to users that only have permission to view, comment on, or sign contracts (Requesters can also request contracts). They have the least amount of access to Ironclad compared to the other seat types.
The Requester/Viewer seat is a good fit for team members that need ongoing visibility into contract workflows and completed records, and only use Ironclad, via the app or integrations, for the purpose of contract submission or requests.
Common Group Setups
The two most common group setup approaches organize users by department ("What contracts, actions, etc. should this department have access to?") or by role in the contracting process ("How will these users be involved in the contracting process?").
Administrators should give groups access only to what they need to self-serve and do their job. This helps reduce unnecessary noise so teams can focus just on what’s most important to them without distractions.

When members of the Legal, People Ops, Procurement, and Sales groups login to Ironclad, the tools and contracts they have access to will vary.
Since all agreements require Legal review, they have full access to all contracts and additional tooling.
