This topic will walk you through Smart Import. This includes the properties it detects, the permissions required to use this feature, and the basics of how it functions.
This topic provides a conceptual overview of the Smart Import feature. If you want to learn more about how to use this feature, refer to Use Smart Import.
Smart Import is an AI-powered feature that simplifies the process of tagging your uploaded contracts by utilizing AI technology to analyze and extract data in them automatically. Each uploaded document is also full-text searchable in the Ironclad Repository through our best-in-class OCR technology.
This feature enables you to upload executed contracts and other documents directly to the Repository. This is useful if you have historical contracts that you are migrating to Ironclad or if you have a contract that was executed outside of an Ironclad workflow.
Users can upload multiple documents at a time using Smart Import. The following are the limits based on file source:
- Local Drive: 2000
- Dropbox: 2000
- OneDrive: 999
- Box: 1000
Each file must be 100mb or less and one of the following file types: .pdf, .docx, .doc, .xls, .xlsx, .eml, .tif, .jpg, .png, .jpeg, .txt, .ppt, .pptx. Smart Import has a limit of 100 pages per file. Note that document previews and AI-suggestions are only available for .pdf and .docx files. We recommend verifying data extracted from tables as it can be inaccurate.
Detected Properties
Ironclad AI detects 194 properties, out-of-the-box. There are two different types of properties:
- Property: A property is a specific piece of information that Ironclad extracts automatically from contracts. This usually includes dates, numbers, or strings that describe the attributes of the contract, such as the counterparty name, agreement date, or contract value.
- Clause: A clause or clause type, also known as a provision, refers to a section, phrase, paragraph, or segment of a legal document, such as a contract, deed, will, or constitution, that pertains to a specific point. Clauses are generally 8 words or more in length and described in a sentence or multiple sentences of text.
Refer to the Ironclad AI Overview for a comprehensive list of properties that Ironclad AI currently detects.
Upload and Import Permissions
There are a couple of permissions to consider if you or your company use this feature:
- Upload - Users with this permission can upload files.
- Imports - Users with this permission and access to the Repository can access imports. In each import, however, they only have access to the records that already have Record Type access to. All unverified records initially have an imported record type so you need to ensure that everyone who helps verify records have access to the Imported record type.
Smart Import for Administrators
Upload Amounts
Every customer has a certain number of Smart Import file uploads included in their base Ironclad package that can be used without additional charge. Additional uploads are subject to a fee. Please reach out to success@ironcladhq.com if you anticipate needing more than your allotted Smart Import uploads.
The upload modal also lets users know whether the company has exceeded their Smart Import allotments and is subject to additional fees.
Turn Off Smart Import
Admins can turn the feature on and off and track how many Smart Import uploads are remaining before being subject to additional fees. When Smart Import is off, users will be able to upload documents to the Repository in bulk without AI-generated predictions.
