You can edit a workflow’s metadata at key points in the contract’s lifecycle. During the Review step, you can update information, adjust turns, reset approvals, and leave comments to track changes. During the Archive step, you can finalize or correct metadata before a workflow is archived. All edits are tracked in the Activity Feed, ensuring a clear audit trail.
Once a workflow is archived, you can still update the metadata by adding or removing documents, and adding, editing, and removing properties. To learn more about editing a record’s metadata, refer to Edit a Record’s Documents and Properties.
Use Case
Classics Inc.’s legal team is negotiating a supplier agreement. Midway through the review, they realize the supplier’s company name was entered incorrectly. The workflow manager edits the workflow’s metadata during the Review step, updates the supplier name, and resets approvals so the updated contract is reviewed by all stakeholders.
Once the contract is signed, the legal team edits the workflow’s properties again at the Archive step to add final details, such as the supplier’s payment terms. All changes are automatically logged in the Activity Feed, ensuring Classics Inc. maintains a complete and auditable record of the agreement.

Edit a Workflow’s Properties (Metadata) During the Review Step
- Click on the workflow you want to edit. A summary window displays on the right.
- In the summary window, click Open overview page indicated by a two arrows icon.
- In the Properties section, click Edit. The Edit Information window displays.
- Edit the workflow’s information.
- In the After updating… section, select whether or not you would like to change turns and reset approvals:
- Select whether you’d like to change the turn to your counterparty or company. This is useful if you want to reflect that the turn has changed from being counterparty to company, or vice versa.
- If you are an administrator or workflow manager, select whether or not you want to reset all approvals. This is useful if the changes represent material changes that you want all parties to review the document again. (Note: This does not reset clause approvals.)
- Add a comment describing the changes you made. In the comment box, you can add emojis and tag other Ironclad users.
- Click Update Information. A comment is added to your workflow’s Activity Feed with the comment you left in the previous step and a copy of the updated document. Filter by Properties to see all activity like this.
Edit a Workflow’s Properties (Metadata) During the Archive Step
Any edits made in the View and edit properties modal will update both the workflow’s and the record’s properties. To ensure you can edit a property at Archive, refer to Configure Sections to Only Display at the Review or Archive Step.
- To edit a workflow’s metadata before archiving it (after approvals and signatures), click View and edit properties. For multiple choice, dropdown, and multi-select fields, available options are restricted to those defined in the workflow configuration.
- Update the workflow’s properties, and then click Submit.
- Any change you make is tracked in your Activity Feed in a collapsible section. Click View Edited Information in any section to view your change. Filter by Properties to see all activity like this.
